Job Title: Warehouse Manager
Department: Warehouse Operations (OTM - Ottimo Manufacturing & OTT - Ottimo Trading)
REPORTS TO: Assistant General Manager & General Manager
Position Purpose:
The Warehouse Manager is responsible for overseeing all warehouse operations within both Ottimo Manufacturing (OTM) and Ottimo Trading (OTT) divisions. This role encompasses receiving, storing, inventory management, and the dispatch of goods, with a focus on efficiency, accuracy, and maintaining organized workflows. The Warehouse Manager ensures optimal inventory control, compliance with health and safety standards, and accurate record-keeping in Dynamics 365. This position also involves supervising staff and coordinating with other departments to support Ottimo’s manufacturing and trading requirements.
Key Responsibilities:
OTT Responsibilities:
1. Receiving Operations
Manage the receiving of products from various vendors, ensuring accurate documentation and efficient storage.
Verify and update all receiving transactions in Dynamics 365, ensuring accurate stock levels.
2. Inventory Management and Storage
Oversee the correct placement and storage of received products, following FIFO principles to maintain inventory freshness.
Ensure accurate labelling and organization of inventory for easy access and management.
3. Order Fulfillment and Shipping
Coordinate container loading according to the shipment plan, ensuring accuracy and adherence to the dispatch schedule.
Work closely with logistics to prepare and document outgoing shipments as per requirements.
4. Cycle Counting and Inventory Accuracy
Conduct regular cycle counts to maintain a high level of inventory accuracy.
Reconcile physical stock counts with system records to address and resolve discrepancies.
5. System Transactions and Recordkeeping
Execute all required transactions in Dynamics 365, ensuring accurate and up-to-date inventory records.
Maintain organized documentation of warehouse transactions to support traceability and reporting.

OTM Responsibilities:
1. Raw Material Receiving and Inventory Management
Oversee the receiving and recording of raw materials, ensuring they are accurately documented in Dynamics 365 and stored effectively.
Ensure raw materials are stored to prevent any quality degradation or damage during the storage period.
2. Material Flow for Production
Manage the transfer of materials between the warehouse and production areas (forging, CNC, assembly) to meet production needs.
Enforce FIFO principles for all raw materials and WIP inventory to optimize stock usage.
3. Storage and Quality Maintenance
Ensure products are stored correctly to prevent quality damage during the storage period.
Regularly inspect storage conditions to maintain a high standard of material and product integrity.
4. Finished Goods Transfers and Dispatch to OTT
Coordinate the transfer of finished goods from production to OTT, ensuring system records accurately reflect each transaction.
5. Transfer Orders to Suppliers
Manage and document transfer orders for materials to suppliers, maintaining accurate records in Dynamics 365.
6. Cycle Counting and Inventory Management
Conduct routine cycle counts for all inventory, including raw materials, WIP, and finished goods, to ensure inventory accuracy.
Notify relevant departments of any slow-moving products identified during cycle counts for proactive decision-making.
7. Stock Identification and Labelling
Ensure all physical inventory is labelled with license plates, batch numbers, and item codes to support traceability and efficient stock management.
8. Logistics and Warehouse Organization
Optimize the warehouse layout to support efficient material flow, minimal handling time, and easy access to high-turnover items.
Ensure timely transfer and availability of materials to production lines to prevent delays.
9. Health, Safety, and Compliance
Maintain a clean, safe, and organized warehouse environment, complying with Ottimo’s health and safety standards.
Conduct regular warehouse inspections and address any safety or operational issues promptly.
10. Operational Reporting
Prepare and distribute regular reports on inventory levels, stock movement, and cycle count results.
Track and analyse key warehouse KPIs to identify improvement opportunities and support decision-making.

Qualifications and Skills:
• Bachelor’s degree in supply chain management, Business Administration, or related field.
• Minimum of 5 years of experience in warehouse or logistics management, preferably in a manufacturing environment.
• Proficiency with warehouse management systems (WMS) and ERP systems, particularly Dynamics 365.
• Strong leadership, communication, and team management skills.
• Excellent organizational skills and attention to detail.
• Commitment to health, safety, and environmental standards.
